Refund and Cancellation Policy

This policy explains how billing, cancellation, and refunds work for OptimaFlo subscriptions. It is part of our Terms of Service and, for enterprise customers, our Master Services Agreement.

IN SHORT

  • You can cancel any time. Cancellation takes effect at the end of your current billing period, not immediately.
  • New subscriptions start with a 7-day free trial. Cancel before it ends and you are not charged.
  • We do not give prorated refunds for unused time on monthly or annual plans, with a short list of exceptions below.
  • Annual plans are prepaid and non-refundable, other than those same exceptions.
  • Cloud costs your provider bills you for running OptimaFlo in your own account are never refundable by us.

FREE TRIAL

Where offered, new subscriptions start with a 7-day free trial. When the trial ends, we charge the payment method on file for the plan you selected, unless you cancel before the trial ends. Canceling during the trial means you are not charged.

HOW TO CANCEL AND WHEN IT TAKES EFFECT

You can cancel any time from your account billing settings. Cancellation takes effect at the end of your current billing period. You keep access to the Services until then, and we do not charge you again after that.

After your subscription ends, you have 30 days to export any remaining Customer Data, as described in our Terms of Service and our Data Processing Agreement. After that window, we may delete it.

REFUNDS

In Short: We do not give prorated refunds for unused time on monthly or annual plans, except in the cases below or where the law requires it.

Where we do give a refund, it is prorated to the unused, prepaid portion of your term:

  • You terminate for chronic downtime under our Service Level Agreement.
  • We fail to fix a material breach of the Agreement within 30 days of your written notice.
  • You object to a new sub-processor under our Data Processing Agreement and we cannot resolve your objection.
  • We discontinue the Services and gave you the 60 days' notice described in our Terms of Service.
  • A charge was duplicated or made in error. We refund the full amount of that charge.

ANNUAL PLANS

Annual plans are billed once a year, in advance, at two months' price off the monthly rate. Annual fees are prepaid and non-refundable, other than the exceptions in Section 4. Your plan renews automatically at the end of the term unless you cancel first; we will communicate any price changes in advance, as described in our Terms of Service.

UPGRADES AND DOWNGRADES

When you change plans, we prorate the difference on your next invoice: an upgrade charges the prorated difference for the rest of your current billing period, and a downgrade credits it toward future invoices.

BYOC CLOUD COSTS

In a BYOC deployment OptimaFlo runs in your own cloud account. Compute, storage, network, and any other charges your cloud provider bills you for running OptimaFlo are separate from your OptimaFlo subscription and are never refundable by us. See "CLOUD INFRASTRUCTURE COSTS (BYOC)" in our Terms of Service.

FAILED PAYMENTS

If a payment fails, we will try to contact you at the email on your account and may suspend your access until payment is made. Reactivating a suspended subscription does not entitle you to a refund or credit for the time you could not access the Services.

PRICE CHANGES

We may change subscription fees from time to time and will communicate any price change to you in accordance with applicable law before it takes effect, as described in our Terms of Service. For enterprise customers on an Order Form, price changes take effect at renewal with at least 60 days' notice, as described in our Master Services Agreement.

HOW TO REQUEST A REFUND

Email evan.rosa@optimaflo.io with the subject "Refund request." Tell us your account email, the charge you are asking about, and why. We will respond with a decision within 10 business days. Approved refunds go back to your original payment method through Stripe. How long it takes to show up depends on your bank.

CHARGEBACKS AND DISPUTES

If you think you were charged in error, contact us first at evan.rosa@optimaflo.io so we can look into it. Filing a chargeback with your bank instead may lead to your access being suspended until the dispute is resolved.

ENTERPRISE AND PILOT CUSTOMERS

If you have a signed Order Form, its terms and our Master Services Agreement govern where they differ from this policy. Pilot Program customers follow the billing terms in their Pilot Agreement for the duration of their Pilot Term.
